What You'll Do:

Recruiting is about trust—and as our Recruiting Coordinator, you'll be the foundation that makes trust possible. You'll ensure that every candidate, hiring manager, and team member experiences a seamless, thoughtful process from start to finish. You may not be making the final hiring decisions, but you'll be the one who makes sure everyone feels informed, valued, and excited about Level. You'll be the face of Level throughout the recruiting journey, creating what our President calls "a rare and first class experience" at every touchpoint.

With Candidates - Deliver a World-Class Experience:

  • Communicate clearly and consistently. Keep candidates informed at every stage, respond promptly to inquiries, and ensure no one is left wondering about next steps

  • Coordinate seamlessly. Schedule interviews efficiently, send timely reminders, and make logistics feel effortless for everyone involved

  • Be warm and professional. Greet candidates with genuine enthusiasm, answer their questions thoughtfully, and make every interaction reflect our values

  • Create memorable moments. Identify opportunities to go above and beyond—a thoughtful follow-up, a helpful resource, or a personal touch that makes candidates talk about us

With Hiring Teams - Be A Reliable Partner:

  • Make scheduling effortless. Coordinate complex interview schedules across multiple stakeholders without dropping the ball

  • Keep everyone informed. Proactively communicate about upcoming interviews, candidate status, and any process updates

  • Anticipate needs. Stay one step ahead on room reservations, interview guides, candidate materials, and anything else that helps interviews run smoothly

  • Solve problems quickly. When conflicts or issues arise, find solutions fast and keep everyone moving forward

Throughout the Process - Orchestrate Excellence:

  • Master the details. Manage candidate information accurately, maintain organized records, and ensure nothing falls through the cracks

  • Support sourcing efforts. Help identify potential candidates, assist with outreach campaigns, and keep our talent pipeline organized

  • Elevate our brand. Recognize moments where we can stand out—should we send a welcome package? Would this candidate appreciate a virtual office tour? Find creative ways to make Level memorable

  • Contribute ideas. Share observations about what's working, what could improve, and opportunities to enhance our recruiting experience

  • Grow your craft. Learn the recruiting lifecycle from the ground up, develop your organizational and communication skills, and discover what kind of talent professional you want to become

Who You Are:

  • Minimum 2 years of experience in recruiting coordination or scheduling (internships count!)

  • Experience with applicant tracking systems; Ashby strongly preferred, but other ATS experience welcomed

  • Exceptional organizational skills—you naturally create systems, follow through on details, and keep multiple priorities moving forward

  • Strong communication skills with a warm, professional presence—both written and verbal

  • Prior experience in fast-paced environments where you managed competing priorities

  • Genuine enthusiasm for creating positive experiences for others

  • Tech-savvy with the ability to learn new tools quickly (calendaring systems, ATS platforms, communication tools)

  • Solutions-oriented mindset—when problems arise, you stay calm and find creative ways forward

  • Experience supporting Talent Acquisition or HR functions

  • A sense of humor and collaborative spirit

  • Eligibility to work in the US; currently based in or willing to relocate to Austin, TX
